Five tradespeople side by side: an electrician, a plumber, a builder, a security installer and an HVAC technician

The Jobs App.

Every job card, project and recurring contract in one place, from the first booking to the customer's signature and rating, even when they weren't on site.

The Jobs app is where the office plans the work and where everything done on site comes back to. This page is a tour of what is in it. For the step-by-step journey of one job, from quote to payment, see how a job moves through ExequtechOS.

Jobs, projects and recurring work

Jobs app › Jobs, Projects, Recurring

The Jobs app has three tabs:

  • Jobs: every job card, with New Card to create one.
  • Projects: larger work grouped under a project manager, with the project's jobs, materials, images, purchases and time in one view.
  • Recurring: maintenance contracts that create job cards on a schedule; see equipment and maintenance.

The job list shows the columns you choose, such as scheduled date, job number, quotation number, customer, delivery address, status, whether it has been invoiced, priority and assignee. Filter by status, priority, customer, address, job type, invoiced or not, and markers. Markers show where a job came from (Q from a quotation, P in a project, R from a recurring card), and you can add your own markers, explained below.

2

Keep lists clean with markers

Any record › Add Marker

A business that has run for a few years has thousands of finished jobs, quotes, invoices and purchase orders. Scrolling past all of them to find today's work wastes time. Markers fix that.

A marker is your own label, such as “Archived”, “Warranty” or “Awaiting parts”, added to a record with Add Marker and an optional note. Markers work on job cards, projects and recurring cards, on quotations, invoices, purchase orders and other billing documents, and on assets and contacts.

Hidden markers. Switch on Exclude when creating a marker and every record carrying it is hidden from the default lists. Mark finished, paid work as archived and it drops out of view, so the Jobs and Billing lists show only what is still active.

Nothing is deleted. Show excluded brings the hidden records back whenever you need them, and taking the marker off a record returns it to the normal list.

Switch on Propagate and the marker is applied automatically to related records, so the documents that belong together are tidied away together.

3

The job card

Jobs app › New Card

A job card holds everything the technician and the office need: title, customer, site contact, billing and delivery addresses, job type, project, priority (low, medium or high), the customer's order number, scheduled date, due date, assignee, description, access instructions for the site, and the tasks to be done. Job types are your own, such as Maintenance, Installation or Callout.

Jobs created from a signed quote arrive with the quoted services as tasks and the materials reserved. Jobs started from scratch can be assessed first and quoted from the job card later.

4

Schedule, assign and follow progress

Job list › Schedule and Assign

Schedule gives the job a date and Assign gives it to a technician, straight from the list. The status then follows the work, from Unscheduled and Unassigned to Awaiting, Pending, En Route, Busy, On Hold, Completed and Signed, without anyone phoning for an update. The full status list explains each one.

Inside a job card

Job card › eight tabs

Open a job and everything about it is one tab away:

TabWhat it means
OverviewTasks and checklists, materials, labour, internal notes and, for admins, admin tasks.
MaterialsReserved and physical quantities, adding, reserving and returning stock, and ordering what is missing.
ImagesSite photos, each with a tag and notes.
PurchasesPurchase orders linked to the job and ad hoc purchases with receipts.
EventsEvery status change, in order, with when it happened, who was there and where: click an event to open its GPS location in Google Maps.
ParticipantsEach person who worked on the job, with their work time and trips.
ProfitabilitySales, cost, profit, margin, time spent and profit per hour.
CompletionWork notes, checklist progress, the technician’s and customer’s signatures, and the customer’s rating and comment.

On site, the technician works through the tasks and their checklists, with readings, yes/no checks and the units serviced; records materials used, labour and photos; and writes up the work performed, issues encountered and follow-up needed. Travel and work time are recorded per person from their status taps, so a team of three on one job shows three people's time on the Participants tab.

General workers count too, free of charge. Not everyone on a team needs the app. A general worker or assistant can be set up in ExequtechOS without a login, and the team leader adds them to the team on the job in the app. When the team leader taps En Route, Start Work or On Hold, the team's time is recorded with it, so the general worker's hours are tracked against the job without them touching a phone. You only pay for people who need their own login; general workers who don't use the system cost nothing, and their hours are still tracked. See pricing.Where it happened, not just when. Every status change, from accepting the job to setting off, starting work, pausing and completing, captures the GPS coordinates of where it was tapped. On the job's Events tab each event shows its time, the people with the technician and its location; click it to open the spot in Google Maps. In the Users app, each person's work sessions carry a location pin for where they started and ended. So the office can confirm the work was started on site, and settle a disputed call-out time with facts.

Once the technician accepts the job, the card is locked against office edits so the site record stays as it was captured; administrators can still correct it.

6

Sign-off on the customer's own device

Completed job card › Send Job Card

Customers are often not there when the work is finished: the tenant let the technician in, the site manager was in a meeting, the owner was at work. That doesn't leave the job unsigned.

When the technician completes the job, Send Job Card emails the customer a secure link. They open it on their own phone, tablet or computer, whenever it suits them, with no app and no account, and review exactly what was done: the tasks with checklist results, the materials used with prices, the work notes and the photos from site.

They click Sign Job Card, sign on screen, rate the team from 1 to 5 stars and write a comment about the service. The job moves to Signed the moment they do.

In the office, the rating and comment appear on the job's Completion tab, next to the technician's and the customer's signatures, and can be included in the job report PDF.

You get signed proof that the customer accepted the work before you invoice, and honest feedback on every job and every team while it is still fresh.

After the job

Job card actions

From the completed job: Create Invoice bills the work done, Create Quote prices a job that started without a quote, and Create WCQ produces a work completed quotation. Download a job report PDF with the sections you choose. Reopen puts a completed, signed or cancelled job back in play, and administrators can link Admin Tasks, such as a follow-up inspection, to any job, even one that is already closed.

Questions about the Jobs app

Can a customer sign off a job if they were not on site?

Yes. Once the technician completes the job, Send Job Card emails the customer a secure link. They open it on their own phone, tablet or computer, review the tasks, checklist results, materials, work notes and photos, and sign. No app or account is needed, and the job moves to Signed as soon as they do.

Can the customer rate the technicians?

Yes. Signing off a job card asks the customer for a rating from 1 to 5 stars, which is required, and an optional comment about the service.

Where does the office see the customer’s rating and comment?

On the job card’s Completion tab, next to the technician’s and the customer’s signatures. The rating and comment can also be included in the job report PDF.

Can several technicians work on one job?

Yes. A job has one assignee who is responsible for it, usually the team leader, and everyone who works on it has their own work time and trips recorded. The Participants tab shows each person’s time on the job.

Do general workers need the app or a paid user to have their hours tracked?

No. General workers can be set up without a login. The team leader adds them to the team on the job in the app, and their hours are recorded with the team leader’s status changes. Only people who need their own login are paying users, so general workers’ hours are tracked free of charge.

Can I see where a technician was when they changed a job’s status?

Yes. Every status change on a job, such as accepting it, going en route, starting work, putting it on hold or completing it, records the GPS coordinates where it was tapped. The job’s Events tab lists each change with its time and location, and clicking it opens the spot in Google Maps. Work sessions in the Users app also show where each one started and ended.

Can I create my own job types?

Yes. Job card types such as Maintenance, Installation or Callout are your own, and the job list can be filtered by type.

How do I stop old jobs and documents cluttering my lists?

Create a marker such as “Archived” with Exclude switched on and add it to finished jobs, quotations, invoices, purchase orders and other records. Records with an excluded marker are hidden from the default lists, so only active work shows. Nothing is deleted: Show excluded brings them back at any time.

Can I schedule a follow-up on a job that is already completed?

Yes. Administrators can link admin tasks to any job card, including a completed one, for example a follow-up inspection, each with a start date, assignee and progress.
