Reports and Job Costing.
See which jobs make money, which quotes will, and whether your technicians' hours are turning into invoices.
Reports are only as good as the data behind them. In ExequtechOS the data is captured as the work happens: technicians' time comes from their status taps, materials from the job card, costs from what you paid your suppliers, and sales from the invoices you issued. So the profit figure on a job isn't an estimate someone typed in. It is the job.

The business at a glance
Reports app › Dashboard
The dashboard brings the whole business onto one screen:
- Jobs Pipeline: active jobs by status, from unscheduled to on hold, and how many are completed.
- Accounts Receivable: quotes by status with the value sent, unpaid and overdue invoices, and debtor ageing.
- Accounts Payable: supplier quotes requested, purchase orders by status, supplier invoices and creditor ageing.
- Recent Activity: the latest events across every app.
Profit on every job
Job card › Profitability
Every job card has a Profitability tab, built from what was actually done:
- Sales: the billable tasks, materials and labour on the job.
- Cost: tasks at cost price, labour hours at cost rate, and materials at what you actually paid for them, including non-billable items.
- Ad hoc purchases made for the job, unless one is marked as already costed as materials.
- Profit, margin, time spent and profit per hour, with a line-by-line breakdown.
Linked purchase orders are listed separately and never added to cost, because the materials they brought in are already costed when used. Nothing is counted twice. Across all jobs, the Job Profitability Analysis report puts revenue, cost, profit and margin side by side.
Profit before you quote
Quotation › Profitability
The same thinking applies before the work is won. Every customer quote has a Profitability view showing its sales total, cost total, profit, margin and profit per hour of quoted labour, line by line. Each line is costed at its own cost price or, failing that, the latest price you paid a supplier. Fix a thin margin before the customer sees the price, not after the job is done.
The report library
Reports app › Library
Ready-made reports for jobs, billing and stock, each run for the date range you choose:
| Report | What it means |
|---|---|
| Job Profitability Analysis | Revenue against cost for every job, with profit and margin %, filterable by technician. |
| Technician Utilization & Recovery | Hours worked against hours invoiced, recovery % and revenue per hour, per technician per month. |
| Time Worked per Job by User | Travel, on-site and total labour hours per person on each job. |
| Completed Jobs by User | Completed jobs per month for each employee. |
| Quotations by Sales Rep | Quotations per month for each sales rep. |
| Inventory Valuation | Stock value at cost, potential revenue at sales price and average markup. CSV export. |
| Stock Take Sheet | A printable count sheet per location. PDF or CSV. |
| Picking List | Purchase order items waiting to be collected, per order or consolidated. CSV export. |
Technician Utilization & Recovery is the one most trade businesses have never had. Hours worked come from the technicians' own status taps, travel and on-site; hours invoiced come from the labour billed to customers. The gap between them is time you paid for and never billed.
A full report for any job
Reports app › Job Reports
Pick any job to see its work summary, tasks and checklist results, materials, purchases, photos and activity. Generate PDF produces a job report with the sections you choose: job details, delivery address, tasks, materials, purchases, images, work notes, the activity log, profitability, customer feedback and the technicians involved. Leave profitability out for the customer's copy and keep it in for yours. Separate downloads give you the job's photos, its purchases and the work completed quotation as PDFs.
Build your own report
Reports app › Builder
The Builder takes you through three steps: choose a source (jobs, quotations, invoices, purchase orders, transactions, stock transfers, stock takes, contacts, assets or projects), pick the columns, filters and sort order, then preview and export to CSV for Excel or your accountant.
Who changed what, and when
Reports app › Audit Logs
Records created, updated or deleted across quotes, invoices, purchase orders, job cards and their tasks, materials, labour, time and photos, recurring cards, projects, contacts and users, is in the Audit Logs. Each entry shows the date and time, the user, what changed, and the old and new values, with the reason where one was required. Filter by record type, operation, user, customer or date.
Access is yours to decide: each part of the Reports app is a view an administrator grants per user, so technicians don't see margins unless you want them to.
Questions about reports and costing
How does ExequtechOS calculate the cost of a job?
Job cost is the cost price of the tasks, the hours times the cost rate of the labour, the actual purchase price of the materials used, and any ad hoc purchases marked as job cost. Non-billable items count in cost but not in sales. Profit is sales minus cost, and margin is profit divided by sales.
Why are purchase orders not added to job cost?
Because the materials received from them are already costed at their purchase price when they are used on the job. Adding the purchase order as well would count the same materials twice, so linked purchase orders are shown separately for reference.
Can I check a quote’s margin before I send it?
Yes. Every customer quote has a Profitability view showing its sales total, cost total, profit, margin and profit per hour, with a line-by-line breakdown, so you can adjust the price before the customer sees it.
What is labour recovery?
Recovery is hours invoiced divided by hours worked. If a technician worked 160 hours in a month, counting travel and on-site time, and 120 of those were billed, recovery is 75%. ExequtechOS works it out per technician per month, along with revenue per worked hour.
Can I export reports to Excel?
Yes, as CSV files, which open in Excel. The report builder exports jobs, quotations, invoices, purchase orders, transactions, stock transfers, stock takes, contacts, assets and projects with the columns, filters and sort order you choose. Job reports and stock take sheets export as PDF.
Can I control who sees reports?
Yes. Each part of the Reports app, the dashboard, report library, job reports, audit logs and builder, is a separate view that an administrator grants per user.
