How a Job Moves Through ExequtechOS.

One job, start to finish, whether it begins with a quote or a job card: who does what, and how it ends in a paid invoice.

In ExequtechOS a job is not a loose piece of paper. The quote, the job card, the technician's time and materials, the customer's signature and the invoice are all linked, so each step picks up where the last one left off. The office works in the Billing and Jobs apps; technicians work from Exequ-Jobs on their phones.

The process runs both ways. When you know the work up front, quote first and turn the signed quote into a job card. When you need to see the site before you can price it, start with a job card, assess the work, and create the quote from what was found. Either way it ends in the same place: a signed quote, an invoice and a payment.

At a glance

Where it happens
Billing and Jobs apps in the office; Exequ-Jobs (Android, works offline) for technicians; a secure link for the customer.
Two ways to start
Quote first and turn the signed quote into a job card, or open a job card first, assess the work and create the quote from it.
Quote approval
Internal Issue → Approve before anything reaches the customer.
Customer acceptance
Signed online from an emailed link, no account needed, or captured by staff from a paper signature.
Quote to job
One click on a signed quote: services become tasks, products and consumables are reserved from stock.
Job statuses
Unscheduled, Unassigned, Awaiting, Pending, En Route, Busy, On Hold, Completed, Signed, Cancelled.
Time tracking
Travel and on-site time are logged from the technician’s status taps, not a timesheet.
Proof of work
Technician signature on completion, then customer signature, star rating and feedback.
Invoicing
From the job in one click, or in stages from the quote, with a guard against double billing.
Result
Per-job profit, margin and profit per hour; per-technician hours worked against hours invoiced.

Quote the work

Billing app › Quotations

A quote starts as a Draft. When it is ready, Issue it for an internal check: someone with approval rights either Approves it or Rejects it back to the person who wrote it for correction. Nothing reaches the customer until it is approved.

Send emails the customer a secure link to view and accept the quote. If you delivered it another way, Mark as Sent records that instead. Need to change a sent quote? Revise creates a new editable revision rather than altering what the customer already has.

Every quote has a Valid Until date. After it passes, the customer's link shows that the quote has expired and can no longer be accepted. Edit Validity extends or removes the date.

Create Option copies a quote so you can offer alternatives, say a repair and a replacement. When the customer accepts one, you choose whether the other options stay open or are cancelled.

2

The customer signs the quote

Customer's link, or Billing app

The customer opens the link, clicks Sign Quotation, draws or uploads a signature and clicks I Accept. They need no account and nothing to install. The quote moves to Signed.

If the customer signed on paper or by email, use Capture Signature on the quote to upload the signed document and record who signed it.

3

Turn the quote into a job card

Billing app › signed quote › Create Job

On a signed quote, Create Job builds the job card for you. Every line on the quote carries over:

  • Services and labour become the job's tasks.
  • Products and consumables are reserved for the job, so the stock is set aside before anyone drives out.

Each line must be linked to an item in your catalogue first; the dialog lists any that are not and lets you link or create them on the spot. The new job card opens as Unscheduled.

Or start with the job card

Not every job can be priced from the office. In the Jobs app, New Card opens a job card straight away, so someone can go out and assess the situation. They record the tasks and materials the work needs, and Create Quote on the job card turns those priced items into a quotation. Creating the quote locks the job card, so what the customer is quoted matches what was assessed; if the scope changes, Revise Quote issues a new revision.

From there the quote follows the same steps as any other: internal approval, sending, and the customer's signature. Once it is signed, it is invoiced for payment, in full or in stages.

Jobs can also be grouped under a Project, or created automatically from a Recurring card for regular maintenance. The job list marks where each job came from: Q from a quotation, P in a project, R from a recurring card.

4

Schedule and assign

Jobs app › Jobs

Schedule gives the job a date; Assign then gives it to a technician. The job has to be scheduled before it can be assigned. The technician gets the job and taps Accept, which tells the office it is confirmed.

The job's status always tells you where it stands:

StatusWhat it means
UnscheduledThe job exists but has no date yet.
UnassignedIt has a date but nobody is assigned.
AwaitingA technician is assigned but has not accepted it yet.
PendingThe technician has accepted the job.
En RouteThe technician is travelling to site.
BusyWork has started on site.
On HoldWork is paused, for example waiting on parts.
CompletedThe technician has completed and signed the job card.
SignedThe customer has signed off the completed work.
CancelledThe job was cancelled. It can be reopened if needed.

Do the work on site

Exequ-Jobs on the technician's phone

The technician moves the job along as they go: En Route when they leave, Start Work on arrival, On Hold if they have to pause and Resume Work when they continue. Travel and working time are logged from these taps, so nobody fills in a timesheet afterwards, and each tap records its GPS location, which the office can open on a map from the job's Events tab. Exequ-Jobs works offline and syncs when signal returns.

Against the job card they record:

  • Tasks and checklists, including readings, yes/no checks and which piece of equipment was serviced. Extra work beyond the original scope can be added and is flagged as such.
  • Materials: reserved stock is confirmed against what was actually used, and anything not used goes back.
  • Labour, by labour type and hours.
  • The team: general workers without a login are added to the team by the team leader, and their hours are tracked free of charge.
  • Purchases made on the way, and purchase orders raised for missing materials.
  • Photos, tagged and with notes.
  • Work notes: work performed, issues encountered and follow-up needed.

Once the technician accepts, the job card is locked for the office so the record from site can't be changed underneath them. Administrators can still correct it, and any time or travel added by hand must carry a reason.

6

Complete and get the customer's sign-off

Exequ-Jobs, then the customer's link

The technician taps Complete, enters their name and signs. The job is now Completed.

Send Job Card emails the customer a link to the finished job: the tasks and checklists, materials used, work notes and photos. They click Sign Job Card, sign, and leave a star rating and feedback. The job moves to Signed, and you have proof of what was done and that the customer was happy with it.

Need a record to hand over? The job report PDF lets you pick which sections to include: job details, tasks, materials, purchases, images, work notes, the activity log, profitability, customer feedback and the technicians involved.

If something needs another visit, Reopen puts a completed, signed or cancelled job back in play.

7

Invoice and get paid

Job card › Create Invoice, then Billing app

Create Invoice on the job turns the work actually done into an invoice and locks the job card. If the job changes afterwards, Sync Invoice brings the invoice up to date.

For larger work you can bill in stages instead: a deposit, milestones and a balance, each invoiced from the quote as a percentage. If a job's quote has already been partly invoiced, ExequtechOS warns you and offers to bill the remainder or deduct what was already billed, so nobody gets charged twice.

Send emails the invoice to the customer. When money comes in, Record Payment captures it against the invoice, or a bank transaction can be allocated across several invoices. The Debtors tab shows who owes what, aged into current, 30, 60, 90 and 90+ days.

8

See whether the job, and the team, paid off

Job card › Profitability, and the Reports app

Because the time, materials and purchases were captured on the job, its Profitability tab can show the result: sales, the cost of tasks, materials and labour (including non-billable items), ad hoc purchases, profit, margin, time spent and profit per hour, with a line-by-line breakdown.

Across jobs, the Reports app shows technician utilisation by month: hours worked (travel and on-site, taken from the status taps) against hours invoiced, the recovery percentage and labour revenue per hour. That is the number that tells you whether time in the field is turning into billed work. Changes to records are kept in the Audit Logs, and the report Builder exports jobs, quotes, invoices, purchase orders, payments and stock movements with the columns you choose.

A good fit if you

  • want quotes and job cards linked, whether you quote first or assess the job first and quote from the job card;
  • send technicians to customer sites, often with stock from a warehouse or van;
  • need signed proof of what was done before you invoice;
  • want to know which jobs and which technicians actually make money.

Probably not the right fit if you

  • have no field work, such as a shop selling over the counter;
  • only need a shared to-do list, with no quotes, stock or invoices;
  • already run an ERP you must keep and only want a technician app on top.

Questions about the job flow

What are the job statuses in ExequtechOS?

A job is Unscheduled until it has a date, Unassigned until it has a technician, and Awaiting until the technician accepts it. Once accepted it is Pending, then En Route, Busy or On Hold as the technician works. It becomes Completed when the technician signs it off and Signed when the customer does. Cancelled jobs can be reopened.

Can I start with a job card instead of a quote?

Yes. ExequtechOS works both ways. Open a job card with New Card, send someone to assess the work and record the tasks and materials needed, then click Create Quote on the job card. The quotation is built from the card’s priced items, goes through the same approval and customer signature as any quote, and is then invoiced for payment. Or quote first and turn the signed quote into a job card. Jobs can also be created automatically from a recurring card for regular maintenance.

What happens to stock when a quote becomes a job?

Products and consumables on the quote are reserved for the job, so they are set aside before the technician goes out. On site, reserved stock is confirmed against the actual stock used, and anything not used is released.

Can the office change a job card after the technician has accepted it?

Not by default. Once a technician accepts, the job card is locked for normal office edits so the record from site stays intact. Administrators can still make corrections, and time or travel added by hand must carry a reason.

How does the customer sign off a completed job?

Send Job Card emails the customer a link to the completed job card with its tasks, checklists, materials used, notes and photos. They sign it, give a star rating and leave feedback, without creating an account. The job then shows as Signed.

Can I invoice a job in stages, such as a deposit and a balance?

Yes. Invoices can be created from the quote as a percentage of its value, for example a deposit, milestones and a final balance. If a job’s quote has already been partly invoiced, ExequtechOS warns you and offers to bill only the remainder or deduct what was already billed.

How do I know whether a job made money?

Each job card has a Profitability tab showing sales, the cost of tasks, materials and labour, ad hoc purchases, profit, margin, time spent and profit per hour, with a line-by-line breakdown.
